Where AI automation actually pays off

· 6 min read

Not every process should be automated. A practical filter for deciding which workflows are worth handing to an AI-assisted system.

The strongest automation candidates share three traits: the task repeats often, the inputs are reasonably structured, and a mistake is recoverable. When all three are true, an AI-assisted workflow removes real hours from the week without introducing risk you cannot absorb.

The weakest candidates are the opposite: rare, ambiguous and expensive to get wrong. Contract negotiation, clinical judgement and pricing exceptions belong with people. Automation can still help by preparing the information those people need, which is a different and safer goal.

Before building anything, write the current process down step by step and mark who touches it and how long each step takes. Most teams discover the bottleneck is a handoff, not a task — and a handoff is often fixed with an integration rather than a model.

Finally, decide up front how you will measure the result. Time saved per week, error rate and response time are all defensible. 'Feels faster' is not, and it makes the next investment decision harder to justify.
