Choosing between an off-the-shelf and a custom CRM

· 5 min read

A decision framework based on how unusual your sales process really is — and what it costs to bend a platform to fit it.

Start by writing your pipeline stages and the data captured at each one. If a mainstream CRM handles that with configuration alone, use it. Platform licences are almost always cheaper than maintaining software.

The case for custom appears when your process depends on data the platform cannot model, when integrations require constant workarounds, or when per-seat pricing outgrows the value delivered.

A middle path works well: keep the platform as the system of record and build only the specific tooling around it that your team needs. You get supported infrastructure with a workflow that matches reality.

Whichever you choose, plan the migration seriously. Data quality, ownership rules and adoption training determine whether a CRM becomes the source of truth or another abandoned tab.
